How LeadPilot works

From enquiry to quote visit, follow-up and source reporting.

LeadPilot CRM is designed around the everyday flow of UK trades: enquiries arrive, details are captured, quote visits get booked, quotes are chased, and won jobs are tracked.

01

Enquiry arrives

A customer emails, fills in a website form, sends an ad lead, or gets added manually.

02

LeadPilot captures it

Rules decide whether the enquiry should become a lead, with duplicate checks included.

03

Details are extracted

Where possible, the CRM pulls out name, phone, email, address, postcode and job notes.

04

Pipeline is updated

The lead appears in New, Contacted, Quote Booked, Quoted, Follow Up, Won or Lost.

05

Quote visit is booked

Pick a time and push the appointment to Google Calendar from the CRM.

06

Quote is created

Send the customer into Quotessa so quotes, invoices and documents start with the right details.

07

Follow-up is created

Reminders help the team call back, chase quotes and keep warm opportunities moving.

08

Reports show what pays

Track lead sources, pipeline value, won revenue and where jobs are really coming from.

Decide what counts as a lead.

A good trade CRM should not turn every email into a lead. LeadPilot lets workspaces use include and exclude rules so newsletters, receipts and noise do not bury real customer enquiries.

Sender email or domain

Subject and body keywords

Phone number or postcode detected

Gmail labels

Specific source names

Advanced regex rules

See which sources are making money.

LeadPilot separates the delivery channel from the real lead source. A lead can arrive through Gmail but still be reported as Website Form, Lead & Trade, GetWork, Google Ads, Meta Lead Form or any source you configure.
